1. Scope and roles

There are three levels: staff (bookings, queue, service requests), unit manager (+ reviews, prices, reports) and head-office administrator (all units, users, settings). You can reach only the data of the unit you are assigned to.

  • Accounts are personal — never share one, or a PIN or password
  • Sign out on shared devices; tell an administrator at once if a device is lost or you suspect misuse
  • When someone leaves their post the manager must have access removed within 24 hours

2. Guest data and confidentiality

Guest data is protected by the Law on Electronic Data Protection No. 25/NA. Unauthorised disclosure is punishable under that law and the Penal Code.

  • Use the data only to deliver the booked service
  • No screenshots, exports, copies to personal devices or accounts, or posts on social media
  • Do not contact guests for other purposes or send promotions outside the system
  • Never record passport numbers, card numbers or prohibited data (religion, politics, unnecessary health details) in notes
  • Report any breach or suspicion to head office within 24 hours

3. Service standards in the system

  • Bookings: confirm or decline within 2 working hours; if you cannot serve, contact the guest before cancelling
  • Check in by verifying the guest's code or QR; mark "completed" once served (this lets the guest review)
  • Queue: call in order; mark "no-show" after a 10-minute wait
  • Service requests: accept within 5 minutes and keep the status truthful
  • Reviews: reply courteously; hide only content that is unlawful, defamatory or reveals personal data — never because it is critical
  • Prices and information: accurate, tax-inclusive and the same as at the venue; you must hold the rights to any photos

4. Additional duties by type of business

  • Stays: register guests under tourism and immigration rules in the hotel's own system (not in this app); room charges must match the folio
  • Restaurants, cafés and bars: always pass allergy notes to the kitchen; do not serve alcohol to anyone under the legal age
  • Spa: ask about health contraindications before treatment; therapists must be trained
  • Tours, activities and cruises: licensed guides, safety equipment and insurance as the Law on Tourism requires
  • Cars and drivers: registered, insured vehicles and validly licensed drivers; confirm pick-up point and flight before departure
  • Travel Desk (visas): charge only official fees plus the published service fee; never promise an outcome; hold guest documents no longer than needed and issue a receipt for them
  • Events and catering: issue a written quotation or contract; follow food-hygiene standards

5. Money

Collect payment only through company channels — never ask a guest to pay into a personal account. Refunds follow the policy in the customer Terms and need a manager's approval.

6. Unit alert contacts

The email and WhatsApp number set to receive booking alerts must belong to the unit, not to an individual, with limited access.

7. Logging and audit

Every status change, price change and temporary code issued is logged with who did it and when. Head office may review these for security and quality.

8. Breaches

A breach may lead to suspension of access, disciplinary action under the company's labour rules, and civil or criminal liability under Lao PDR law.

9. Changes

When these terms change you will be asked to accept them again before the Staff Portal opens. The Lao-language version is the binding version.
